How to Calculate Air Cargo Rates in India: A Step-by-Step Guide

Most people expect air cargo pricing to work like a courier: weigh the package, multiply by a per-kilo rate, done. It doesn't work that way — and not understanding why is exactly how people end up shocked by a quote. Here's how the actual math works, step by step.

Step 1: Chargeable Weight, Not Actual Weight

Airlines don't just charge for actual weight — they charge for chargeable weight, which is the higher of actual weight and volumetric (dimensional) weight. Volumetric weight accounts for how much space your package takes up in the hold, not just how heavy it is. A large, light box (say, a bulky but empty-looking crate) can cost more to ship than a small, dense one of the same actual weight, because it's eating up space that could otherwise carry paying weight.

The standard formula used across most Indian air cargo pricing is:

Volumetric weight (kg) = (Length × Width × Height in cm) ÷ 5000

Whichever number is higher — actual weight or volumetric weight — is what you're billed on.

Step 2: The Minimum Guarantee Floor

This is the part most people don't know, and the one we covered in detail in our piece on what Air Freight actually is: airlines apply a minimum chargeable weight, typically 10 kilos, regardless of how light your actual shipment is. A 500-gram envelope and a 9-kilo box are billed identically at the 10-kilo floor. This single fact accounts for most of the "why is this so expensive for something so small" confusion.

Step 3: Per-Kilo Rate by Zone

Once chargeable weight is established, it's multiplied by a per-kilo rate — and that rate varies by zone, not by a flat national number. Domestic zones (e.g., metro-to-metro vs metro-to-tier-2) and international zones (typically lettered A through M, grouped by region) carry different base rates depending on distance, route demand, and available capacity on that lane.

Step 4: Fuel Surcharge and Security Surcharge

On top of the base rate, airlines and forwarders add a fuel surcharge (which fluctuates with jet fuel prices and is revised periodically) and a security surcharge (a fixed regulatory charge covering mandatory cargo screening). Neither is optional, and neither is included in the base per-kilo rate.

Step 5: Door-to-Door Handling

The airline rate covers airport-to-airport movement only. A full door-to-door service adds pickup from origin, cargo terminal handling and documentation on both ends, customs clearance where applicable, and last-mile delivery to the recipient — which is the layer a managed Air Express service like ours handles on your behalf instead of leaving to you.
